Reporting to the Manager of Training Programs, this position essentially “holds the fort” by providing administrative support to the team and the department’s two main programs: Building Foundations for Women and the Ve’ahavta Street Academy. These transformational programs offer life skills and personal development for individuals experiencing poverty and its many impacts. Ve’ahavta aims to help these individuals build stable and active lives, and move toward their employment and education goals.
This role entails the execution of day to day administrative duties, including organization of logistics, correspondence with stakeholders, inputting student database information required for tracking evaluation and report purposes, as well as file set up and maintenance
In this role, the Administrative Assistant has the important role of often being the first point of contact for individuals inquiring about the program. The Administrative Assistant will participate in marketing activities, conduct the initial screening of candidates and assist with the first stages of the recruitment process. Once individuals are selected for the program, the Administrative Assistant will oversee the administrative side of the enrollment process.
In addition, this role provides support to the lay leaders who help guide and develop the programs (the Advisory Committee and working groups), by attending meetings and taking minutes, tracking documents and managing correspondences.
Each program culminates with a celebratory graduation ceremony and event which is coordinated and implemented by the whole team.
Qualifications and Skills
The successful candidate will exhibit a strong work ethic and a positive attitude in a mission-driven high energy environment. A flexible attitude, demonstrating calm under pressure, and admirably balancing a high volume of work with high quality output will be key characteristics for success in this role.
• 2-5 years of administrative support work experience
• Experience in non-profit sector working with diverse populations is an asset
• Intermediate-Advanced knowledge of Microsoft Office
• Familiarity with Salesforce or other CRM database
• Excellent general administrative skills
• Strong written and oral communications skills
• Highly organized with strong time management skills
• Passionate, driven, self-motivated
• Works very well in a team environment and enjoys supporting others
Strong interpersonal skills and exhibits sensitivity to confidential matters
